How to Bind a Personal Lines Policy
Binding is the moment your new auto, home or other personal policy actually starts. Here is how the process works, what to have ready, and how to get covered on time for a new car, a home closing or a renewal.
What it means to bind a policy
A quote is an offer. Binding is the moment coverage actually starts: the insurance company agrees to cover you as of a specific date and time, before the full policy is printed and mailed. Until a policy is bound, you are not insured, no matter how many quotes you have.
Quote
The carrier's price for the coverage you described. It can change if information turns out to be different, and it expires.
Bind
You accept the quote, sign the application and pay. Coverage begins on the effective date and time we confirm to you in writing.
Binder and ID cards
A binder or evidence of insurance proves coverage while the policy is issued. Auto ID cards are usually available the same day.
Issued policy
The carrier issues the full policy and declarations page, which replace the binder and control your coverage.
Important: coverage is never bound by sending an email, leaving a voicemail or submitting a form. Your policy is bound only when Societies Insurance confirms it in writing with an effective date and time.
How binding a personal lines policy works
Most auto, home and renters policies can be bound in a day once everything is in hand. Here is the full process from first quote to issued policy.
- Request a quote and share your detailsTell us what you want to insure, when coverage needs to start and what you have now. Send your current declarations page if you have one; it is the fastest way for us to match or improve your coverage.
- Compare optionsWe shop multiple carriers and walk you through the differences in price, coverage, limits, deductibles, discounts and payment plans.
- Choose your coveragePick the carrier, limits and deductibles, plus endorsements like replacement cost, water backup, scheduled jewelry or rental reimbursement. Confirm your effective date.
- Complete and sign the applicationReview every answer before you sign, usually by e-signature. Underwriting questions about drivers, prior claims, the home's condition and other occupants must be complete and accurate; errors can lead to a rate change, a denied claim or cancellation.
- Make your down paymentMost carriers require the first payment, or the full premium, before or at binding. Choose pay-in-full, monthly bank draft or, for homeowners, payment through your mortgage escrow.
- We submit the bind requestWe send the signed application and payment to the carrier and request coverage for your effective date. Some carriers bind immediately online; others need underwriter approval first.
- Receive written confirmation and proofWe email you confirmation that coverage is bound, along with the binder, evidence of insurance for your lender, or auto ID cards as needed.
- Complete any follow-up itemsSome policies are bound subject to conditions, such as a home inspection, photos, a signed form or proof of prior insurance. Send these on time to avoid a change or cancellation.
- Review your issued policyWhen the policy arrives, check names, addresses, vehicles, mortgagee, limits and deductibles against what you selected and tell us about any errors right away.
- Cancel your old policy, if replacing coverageOnly after the new policy is in force. Set the old policy's cancellation date to the new policy's effective date so there is no gap and no overlap.
What to have ready by policy type
Having this information ready is the single biggest factor in binding quickly and avoiding price changes after the fact.
| Policy | What we need to bind |
|---|---|
| Auto | Names, dates of birth and driver's license numbers for every licensed household member; vehicle VINs; where vehicles are garaged; lienholder or leasing company; current declarations page; tickets and accidents in the last 3 to 5 years |
| Homeowners | Property address and purchase or closing date; year built and square footage; roof age and type; electrical, plumbing and heating updates; mortgage company name, mortgagee clause and loan number; prior claims; pools, trampolines, dogs, wood stoves or home businesses |
| Condo (HO-6) | Unit address; the association's master policy or bylaws showing what the association insures; improvements you have made; the HOA's loss assessment amount |
| Renters (HO-4) | Rental address and lease start date; estimated value of your belongings; landlord or property manager to list as an interested party, if required |
| Landlord / rental dwelling | Property details as for a home, plus occupancy, lease terms, number of units and whether it is rented short-term |
| Personal umbrella | Declarations pages for every auto, home and watercraft policy, showing liability limits that meet the umbrella's minimum requirements; all household drivers |
| Boat, RV and motorcycle | VIN or hull identification number; year, make, model, length and engine; value and lienholder; operator experience and safety courses |
| Flood | Property address and flood zone; elevation certificate, if available; building and contents values; mortgage information for lender-required coverage |
| Valuables and collections | Recent appraisals or receipts for each item to be scheduled, and photos |
Binding homeowners coverage for a closing
Your lender will not fund the loan until it receives proof that the home is insured as of closing. Start early: roof age, prior claims or inspection findings can limit which carriers will write the home.
| When | What happens |
|---|---|
| As soon as you're under contract | Request quotes. Send the listing, inspection report and your lender's insurance requirements. |
| 2 to 3 weeks before closing | Choose your coverage and confirm the mortgagee clause and loan number with your lender. |
| 7 to 10 days before closing | Sign the application, make the first payment or set up escrow billing, and bind effective on your closing date. |
| Right after binding | We send evidence of insurance and the paid receipt or invoice to your lender and title or escrow company. |
| Closing day | Coverage starts. If closing moves, tell us right away so we can change the effective date. |
| After closing | Review your issued policy and confirm the lender received the declarations page. |
Need flood insurance? National Flood Insurance Program policies generally have a 30-day waiting period, but it is waived when coverage is bought in connection with making or refinancing a mortgage loan. Bind flood with your closing to use that exception.
Effective dates, deadlines and restrictions
No backdating
Coverage can only start on or after the date and time it is bound. A loss that happens before binding is not covered, even if you requested a quote earlier.
Bind before you drive or close
Bind a new vehicle before you leave the dealership and a home before closing. Many auto policies briefly extend coverage to a newly purchased vehicle, but only for a limited number of days and only if you already have a policy.
Storm and wildfire binding restrictions
When a hurricane, tropical storm or wildfire threatens an area, carriers suspend new policies and coverage increases until the threat passes. Do not wait until a storm is forecast.
Underwriting review period
For a set period after binding, often around 60 days depending on your state, the carrier may review the policy and change or cancel it if information was incomplete or an inspection finds problems.
Common reasons a bind is delayed or a price changes
Drivers and violations
A household driver left off the application, or tickets and accidents that show up on the motor vehicle report.
Prior claims
Carriers check claims databases; undisclosed losses in the last 3 to 5 years can change eligibility or price.
Roof and home condition
An older roof, outdated wiring or plumbing, or damage found on inspection.
Liability features
Pools without fencing, trampolines, certain dog breeds, short-term rentals or a home business.
A lapse in coverage
Going without insurance, even briefly, can raise auto rates and limit carrier choices.
Missing payment or signature
Unsigned applications or a declined payment can delay binding or void a bind request.
Payment options at binding
Paid in full
One payment for the term. Often earns a discount and avoids installment fees.
Monthly bank draft
Automatic withdrawals, usually with a down payment at binding and the lowest installment fees.
Installments
Quarterly or semi-annual payments; carriers may charge a small fee per installment.
Mortgage escrow
For homeowners and flood. The lender pays the premium from your escrow account; we bill the lender directly.
Missed payments can lead to cancellation for nonpayment. If your bank account or card changes, update it before your next draft.
Binding questions
Is a quote the same as being insured?
No. A quote is only a price. You are insured once the policy is bound and we confirm the effective date and time to you in writing.
Can I bind coverage over the phone or by email?
You can ask us to bind by phone or email, and we will send the application for e-signature and take payment. Coverage is not bound until you receive our written confirmation.
How fast can I get proof of insurance?
Once coverage is bound, auto ID cards and evidence of insurance for a lender are usually available the same business day.
What is a binder, and how long does it last?
A binder is temporary written proof of coverage issued before the policy itself. Binders are commonly valid for 30 to 90 days, depending on the carrier and state, and are replaced by the issued policy.
Can I change my coverage after binding?
Yes. You can add vehicles, drivers or endorsements, or change limits and deductibles, at any time. Changes are effective when processed, and some may need underwriting approval.
When should I cancel my old policy?
After your new policy is bound, ask your old carrier to cancel effective the same day the new one starts. You are usually refunded any unused premium, sometimes less a small fee.
What if my closing date or purchase date changes?
Tell us as soon as you know. We can move the effective date before it arrives so you are not paying for coverage early or left without it.
Can I bundle home and auto?
Yes. Binding home and auto with the same carrier usually earns a multi-policy discount. We can line up effective dates so both start together.
