Before you cancel

Cancelling an insurance policy the right way

Whether you sold a car, closed a business, moved, or found new coverage, cancelling correctly protects you from gaps in coverage, unexpected bills and problems with lenders or your state. The safest way to cancel is a signed written request that names the exact date and time coverage should end.

Most common

Replacing coverage

Bind the new policy first, then cancel the old one effective the same date so there is no gap and no overlap.

No longer needed

Sold or closed

You sold the vehicle, home or business, or stopped the activity the policy covered.

At renewal

Non-renewal

If you simply don't want the policy to renew, tell us before the renewal date rather than letting it lapse.

Avoid this

Just stop paying

A cancellation for nonpayment goes on your record, can leave a balance due and can raise future premiums.

Important: a policy is not cancelled by stopping payment, returning plates or telling a carrier by phone. Your cancellation is complete only when the carrier processes a signed request and we confirm it in writing.

Step by step

How to cancel a policy

  1. Confirm replacement coverage, if you still need itIf you are switching carriers, make sure your new policy is bound and you have proof of coverage before you cancel. If your lender, landlord, state or a contract requires insurance, you must keep continuous coverage.
  2. Choose the cancellation datePick the exact date and time coverage should end, usually 12:01 a.m. on the day the new policy starts. Most carriers will not backdate a cancellation, and none will cancel effective before a date you were still exposed to loss.
  3. Complete the ACORD 35 Cancellation Request / Policy ReleaseList the named insured, carrier, policy number, cancellation date and reason, and sign it. A signed letter with the same details also works for most carriers. Every named insured may need to sign.
  4. Send it to Societies InsuranceEmail the signed form to info@societiesinsurance.com. Include proof of replacement coverage or a bill of sale if you have one; some carriers require it.
  5. We submit and confirmWe send the request to the carrier, notify any lienholder, mortgagee, additional insured or premium finance company as required, and confirm the cancellation to you in writing.
  6. Watch for your refund or final billThe carrier calculates any return premium. Auditable commercial policies may be audited first. Refunds usually arrive within a few weeks.
  7. Handle state and lender follow-upTurn in license plates or update your registration if your state requires it, and make sure your lender or mortgage servicer has your new policy so they don't add costly force-placed coverage.
Refunds

How your refund is calculated

The method depends on who cancels, the carrier and the policy type. Ask us for an estimate before you cancel.

MethodHow it worksWhen it applies
Pro rataYou are refunded exactly the unused portion of the premiumMost personal policies, and when the carrier cancels or non-renews
Short rateA pro rata refund minus a penalty, often about 10% of the unearned premiumSome commercial policies cancelled mid-term by the insured
Minimum earned premiumThe carrier keeps a set share of the premium, commonly 25%, no matter how early you cancelMany excess and surplus lines policies
Fully earnedNo refund of that chargePolicy fees, inspection fees, broker fees and some event or short-term policies
Audit adjustmentThe final premium is based on actual payroll or sales, then any refund or balance is issuedGeneral liability and workers comp

If your premium is financed, the refund goes to the finance company first to pay off the loan. Any amount left is sent to you.

By policy type

What to know for each kind of policy

PolicyWhat to watch for
AutoMost states require continuous liability insurance on registered vehicles. Keep coverage until the vehicle is sold, transferred or the plates are surrendered. A lapse can cause registration suspension and higher future rates. Notify your lienholder.
Homeowners, condo and dwellingYour mortgage requires coverage until the loan is paid off. If you sold the home, cancel effective the closing date and send the closing statement. If you are changing carriers on an escrowed policy, send the new policy to your servicer so escrow pays the right carrier.
RentersCancel effective your move-out date. Some leases require proof of coverage until the lease ends.
UmbrellaCancelling an underlying auto or home policy can affect your umbrella's minimum requirements. Review the umbrella at the same time.
Commercial liability and propertyCheck contracts, leases and loans: many require notice to the certificate holder before cancellation. Closing the business? Ask about discontinued operations and products-completed operations exposure that can continue after you stop working.
Workers compensationMost states require coverage while you have employees. The carrier will complete a final audit, and some states must be notified.
Commercial autoFederal or state filings (such as for motor carriers) must be addressed so your authority is not suspended unexpectedly.
Claims-made policies (E&O, D&O, cyber)Cancelling ends coverage for claims reported later, even for past work. Ask about an extended reporting period (tail) before you cancel or close the business.
Life, health and MedicareThese follow different rules and often must be cancelled directly with the carrier or Medicare. Never drop a health or Medicare plan before new coverage is confirmed, and call us first; we will walk you through the right process.

FAQ

Cancellation questions

Can I cancel my policy at any time?

Yes. You can cancel most policies mid-term. Depending on the policy, a short-rate penalty, minimum earned premium or fully earned fees may reduce your refund.

Can I backdate a cancellation?

Generally no. Carriers cancel effective the date they receive the signed request, or a future date you choose. Some will accept an earlier date only with proof of replacement coverage starting that day.

Do I need to cancel if I'm switching to a new policy through Societies Insurance?

Yes. Your old carrier won't cancel automatically. We can prepare the ACORD 35 for your signature and send it for you once your new policy is bound.

How long does a refund take?

Most refunds are processed within 2 to 6 weeks. Auditable commercial policies may take longer while the final audit is completed.

What if my policy is financed?

The finance company is notified and paid first from any return premium. If the refund doesn't cover the loan balance, you will owe the difference to the finance company.

Will cancelling affect my future rates?

Cancelling to switch carriers or because you no longer need coverage generally won't. A lapse in required coverage, or cancellation for nonpayment, can.

What is the difference between cancelling and non-renewing?

Cancelling ends coverage before the expiration date. Non-renewing lets the policy run to its expiration date and stop there. If you want a policy to end at renewal, tell us in writing before the renewal date.

Ready to cancel a policy?

Download the ACORD 35, sign it and email it to info@societiesinsurance.com, or call 800-616-3490. We'll confirm the cancellation in writing and let you know what to expect for any refund.

This is a general overview. Cancellation rights, notice requirements, refund methods and state rules vary by state, carrier and policy, and your policy controls. A policy is not cancelled until the carrier processes your signed request.
